A purchase order is not a supply commitment
When a procurement team creates a purchase order, the ERP marks it as confirmed. The planning system shows the material as incoming. The production schedule assumes it will arrive.
None of that means the supplier has started production.
What actually happens after a PO is sent
The gap between a purchase order and a physical shipment is filled with operational work that most software does not track:
- Has production started?
- Are the components available?
- Has inspection been scheduled?
- Is packaging ready?
- Will the cargo be ready before vessel cut-off?
- Are the documents complete and accurate?
Each of these questions requires someone to ask it. If nobody asks, the answer often turns out to be no — discovered too late to recover.
The follow-up burden
Supplier collaboration is, in its most honest description, relentless follow-up. It is repetitive. It is unglamorous. And it is absolutely critical to whether goods arrive on time.
